State and federal laws generally do not require employers to use written forms for various purposes with employees, except for things such as I-9s, W-4s, and so on, but it is an extremely good idea to maintain written records of most aspects of, and significant events during, the employment relationship. That is mainly because if a claim or lawsuit is ever filed, having certain documents in writing will make it much easier to defend your company and show that no laws were broken. Some documents, such as job applications, are so important that if you do not have them in writing, you may well find it impossible to defend against something like an employment discrimination lawsuit.
